β Back to LearnHandling Returns, Refunds & Customer Issues

Every seller deals with returns eventually. It's not a failure β it's normal. How you handle returns affects your reputation, your reviews, and whether the platform penalizes you. The goal: resolve issues quickly, keep your ratings high, and minimize financial impact.
How Returns Work (Platform by Platform)
- eBay: 30-day returns is the default. Buyers can open "Item Not As Described" (INAD) cases β eBay almost always sides with the buyer. Fees are refunded on INAD returns. Chargeback/dispute fee: $20.
- Mercari: Buyers have 72 hours to rate or request a return. After 72 hours with no action, the sale auto-completes and funds are released. Important: your 10% seller fee is NOT refunded on returns.
- Poshmark: Returns are case-by-case. Buyer opens a case, Poshmark reviews. If approved, the buyer returns the item. Fees are refunded only if Poshmark rules in the buyer's favor due to platform error.
- Etsy: Sellers set their own return policy. Even with a "no returns" policy, buyers can open cases for items not as described. Listing and transaction fees may be refunded on cancellations, but payment processing fees usually are not.
- StockX/GOAT: Returns are rare β only for failed authentication. The authentication process protects both sides.
Preventing Returns Before They Happen
- Accurate photos (show every flaw)
- Honest descriptions (condition, measurements, what's included)
- Proper packaging (items arriving damaged = automatic return)
- Ship on time (late shipments trigger complaints)
- Answer questions before the sale (a well-informed buyer rarely returns)
When a Buyer Wants a Return
Respond quickly and professionally. Don't argue or get defensive. If the return is legitimate (item not as described, damaged in shipping), accept it gracefully β fighting it hurts your account standing.
If the return is buyer's remorse and your policy doesn't cover it, politely explain your policy.
Protecting Yourself
- Always photograph items before shipping (proof of condition)
- Keep shipping receipts and tracking numbers
- Ship with tracking and insurance for expensive items
- Screenshot your listings (in case a buyer claims the description was different)
- On eBay: good seller metrics protect you in disputes
- On Mercari: the 72-hour window means quick resolution either way
The Financial Impact of Returns
Returns cost more than just the refund. You lose: the original shipping cost (if you paid), return shipping cost (if you cover it), your time repacking and relisting, and sometimes the fees (not all platforms refund fees on returns).
Budget for a 2β5% return rate. Factor this into your pricing. See how to calculate true profit.
Difficult Buyers
Most buyers are reasonable. For the occasional difficult one: stay professional, never escalate, use the platform's resolution center, and don't take it personally. If a buyer is abusive, report them to the platform. Don't let one bad experience ruin your selling.
